Marketing Yourself in the Association
For all AAMD's Education classes, all AAMD events, our Networking Luncheons, Supplier Council Meetings, and Independent Rental Owner Council meetings, there are sponsorship opportunities.

The sponsorships range from having your company logo on a large banner as part of a Premier Sponsorship, to making a brief statement about the nature of your business in front of an educational seminar.

All of our Sponsorship and Marketing opportunities help promote your company, further your exposure to pertinent AAMD members, and foster continued business relationships between AAMD owner and supplier members.

Sponsorship Solicitation, Reservation and Contract Discount Policy

Definition
For purposes of this policy, contract/commitment (hereby known as "Contract") shall include, but not be limited to, advertising in publications with its preferred positions (i.e. back cover, inside front cover) as well as event sponsorships, table reservations, ticket sales and "contracts" with specific sponsorship levels (i.e. presenting sponsorship, platinum sponsorship, gold sponsorship, silver sponsorship etc). All "contracts" shall be required to execute an AAMD contract for that specified event, or a multi-marketing program contract for several events.

Determining the Contract/Commitments Available and Price
Acceptance of contracts, income from contracts, and the contract levels for each event shall be approved specifically by the Executive Vice President in conjunction with either the Finance Committee or Executive Committee and identified specifically to the board of directors' for final approval.

Announcements of ContractsThe Announcements regarding available "contracts" for each upcoming calendar year shall be printed and made available via mail, email, or in Trends no later than September 15 of the previous year. Additional announcements may be made throughout the year. AAMD will announce additional opportunities for all potential contracts at the same time.

Priority in ContractsAll AAMD members shall have an equal opportunity for any contract after the September 15 announcement, or prior to that date if appropriately and equally announced to the membership. Contracts shall be awarded on a first-come first-served basis to members. Exceptions would include a first right of refusal of a "Presenting Sponsor", "Title Sponsor" or Top Level Sponsor of a specific event or program. (SEE First Right of Refusal Exception)

Application for contracts must be IN WRITING and sent to the Executive Vice President (or interim/acting Executive Vice President or most Senior Executive Staff member.)

First Right of Refusal ExceptionFirst come first serve priority acceptance of contracts, may be preempted in the case that a contract holder from the previous year, or most recent event (of similar nature) has accepted to repeat the contract within 30 (Thirty) days after the prior year's event. First right of refusal is available to "Presenting Sponsors", "Title Sponsors" or the Top Level Sponsor of a program or event, including preferred position advertising (noted above). The Executive Vice President (or interim/acting Executive Vice President, or most Senior Executive Staff member) must receive written notice within calendar 30 (Thirty) days of the event to secure the following year's contract. In the event a contract is not executed prior to September 15, the contract becomes available at 8:00 a.m. on a first come first serve basis AFTER September 15 or on the first business day following September 15. The contract holder accepts the possibility and likelihood of the sponsorship price increasing up to 5% of the previous year's price. If the price increase exceeds the 5% threshold the contract holder may elect to cancel the contract without penalty. Cancellation must occur within one week of the announced price increase.

CancellationsAny cancellation or change in contracts must be in writing to the Executive Vice President. Cancellations will carry full legal obligation to pay for the sponsorship unless a specific cancellation policy is in place for that program.

Discount PolicyThe AAMD may offer a variety of different discounts because of volume or early commitments. Any discount or special pricing which a member is eligible for is forfeited if the member becomes delinquent in payment of such contract. Forfeiture of discounts will occur if the member has a balance greater than $250 that is more than 90 days past due.

EXAMPLE 1: Xcorp commits $10,000 through annual marketing package, and receives 10% off (a $1,000 discount). Xcorp is scheduled to pay 3 installments of $3,000. An installment payment is short by $275, i.e. Xcorp pays $2,725 of their $3,000 installment, but there is $275 past due over 90 days. Xcorp forfeits their discount of $1,000, because the contract was not fully met, and owes the full $10,000.

EXAMPLE 2: Ycorp commits to a $1,750 Trade Show Exhibit and receives an earlybird special $250 discount, Ycorp's discounted price is $1,500 for the exhibit. Ycorp pays their deposit and the second installment of their contract, but the final installment of $500 is past due for over 90 days. Ycorp forfeits their discount of $250, because the contract was not fully met, and owes the full $1,750.
